Overview

The Employee Probation List empowers HR personnel to efficiently manage and monitor employees currently under probation. This guide details functionalities for viewing, filtering, sorting, searching, and exporting employee probation data.

Add New Employee

Viewing Employee Probation Details:

  1. The main view displays a table containing probation information for all employees on probation.
  2. Each row represents a single employee, with details like:
    • Employee ID
    • Employee Name
    • Date of Joining
    • Probation Period
    • Branch
    • Department
    • Designation
    • Status (e.g., Active)

Filtering the Employee Probation List:

The form located above the table helps you filter the list based on specific criteria to narrow down your search:

  1. Employee: Click the dropdown menu and select a specific employee from the list.
  2. Company (if applicable): If your organization has multiple companies, choose a company from the dropdown menu to filter by company.
  3. Branch: Filter employees by their branch location using the dropdown menu.
  4. Department: View employees belonging to a particular department by selecting it from the dropdown menu.
  5. Shift (if applicable): Focus on employees assigned to a specific shift (e.g., morning shift) using the dropdown menu.
  6. Probation Period: Choose a desired probation period duration (e.g., 3 Months) from the dropdown menu to see employees within that timeframe.

Applying Filters:

  1. Once you’ve selected your desired filter options, click the blue “Filter” button.
  2. The list will refresh, displaying only employees matching your chosen criteria.

Additional Features:

  • Clear Button (Gray): This button clears all applied filters, returning the list to show all employees on probation. Click it to start fresh with a full view.
  • Search Bar: Located at the top of the employee table, you can enter keywords or phrases (e.g., part of an employee name, department) to search for specific employees within the filtered or entire list. The table will update dynamically to reflect your search terms.

Sorting the Employee Probation List:

The table headers allow you to sort the employee list based on various data points for better organization:

  1. Click on a table header (e.g., Employee ID, Probation Period). The table will be sorted in ascending order (A-Z or lowest to highest) by default.
  2. Click again on the same header to reverse the sort order (descending order, Z-A or highest to lowest).

Exporting the Employee Probation List:

  • The green “Excel” button, typically located on the top right corner (sometimes near the “Clear” button), allows you to download the entire Employee Probation List data into a spreadsheet for further analysis or record-keeping. Click this button to generate and save the Excel file.

Action Menu (Three Dots):

Clicking on the three vertical dots next to an employee’s name opens a dropdown menu. Fill Out the Employee Adding Form

Instructions: Complete the form fields with the necessary employee information. Required fields are marked with an asterisk (*).

Form Fields Description:

Personal Information:

  • First Name: Enter the employee’s first name here.
  • Middle Name: If applicable, type the employee’s middle name.
  • Last Name: Provide the employee’s last name or surname.
  • Father’s Name: Input the name of the employee’s father, if available.
  • Mother’s Name: Enter the name of the employee’s mother, if known.
  • Date of Birth: Choose the employee’s date of birth from the calendar.

Contact Information:

  • Personal Mobile: Enter the employee’s personal mobile number. (Required)
  • Personal Email: Input the employee’s personal email address, if available.
  • Current Country: Select the country where the employee currently resides. (Required)
  • Current City: Choose the city where the employee currently resides. (Required)
  • Current Zipcode: Enter the zipcode of the area where the employee currently resides.
  • Current Address: Input the full address of the employee’s current residence.

Emergency Contact:

  • Contact Name: Input the name of the emergency contact person.
  • Contact Mobile: Enter the mobile number of the emergency contact person.
  • Relation: Specify the relationship or connection between the employee and the emergency contact person.

Employment Information:

  • Employee ID: Enter the unique identifier for the employee. (Required)
  • Punch Card: Input the punch card details if applicable.
  • Date of Joining: Select the date when the employee joined the company. (Required)
  • Probation Period: Choose the duration of the probation period from the dropdown list.
  • Employee Type: Select the type of employee from the dropdown list. (Required)
  • Employment Type: Select the employment type from the dropdown list. (Required)
  • Weekly Holiday: Select the day(s) of the week when the employee has a holiday.
  • Report To: Select the person to whom the employee reports.
  • OT Eligible: Choose whether the employee is eligible for overtime.

Work Information:

  • Company: Select the company the employee is associated with. (Required)
  • Branch: Select the branch where the employee works. (Required)
  • Department: Select the department to which the employee belongs. (Required)
  • Designation: Select the designation or job title of the employee. (Required)
  • Shift: Select the working shift of the employee. (Required)
  • Section: Select the section or division where the employee works.
  • Floor: Select the floor of the building where the employee works.
  • Leave Approver: Select the person responsible for approving leaves for the employee.

Form Submission:

  • Click On “Save” Button:

View Employee Probation:

  1. Locate the “Action” column in the table.
  2. Click on the three vertical dots next to the specific employee whose probation information you want to view.
  3. A dropdown menu will appear with the option “View.”
  4. Click “View” to access a separate form where you can modify the employee’s probation.

Next you will get this page

Export Button (Excel):

  1. Click the green button labeled “Excel” located on the top right corner, next to the “Clear” button.
  2. This will generate an Excel spreadsheet containing the entire List data.
  3. You can save and use this spreadsheet for further analysis or record-keeping.

    • Ensure that all required fields are filled out correctly to avoid validation errors when saving the changes.
  • Network Connectivity:
